Preparing to Leave

Preparing Your Room

All residents (with exception of graduating seniors participating in Senior Week and Commencement Weekend activities) are required to have all personal belongings removed from their residence hall room by 12:00PM (noon) on Tuesday, May 19, 2026. This means that no personal items are left in the room, commons rooms, or hallways, for any reason.

Once all belongings have been removed from the room, the student should make every effort to properly clean the space. This includes removing loose trash and debris from the floor and furniture. After a space is clean, the following must be completed:

  • Remove all trash and discard it at an exterior dumpster;
  • Close and lock all windows;
  • Close all window shades;
  • Turn off all lights;
  • Remove all items from the room;
  • Return any assigned key(s) to the Office of Residential Experience (Cotter Union, 241)

Returning Your Key

Returning any assigned key(s) must be the final completed task prior to leaving campus. If a student is aware that they will be unable to return a key (or do not have an assigned key), they must still follow all outlined processes.  

If students have lost any assigned key(s) or know they cannot return an assigned key, they are asked to proactively contact the Office of Residential Experience at [email protected] to inform them of this concern.

Returning Your Key:  Please come to the Office of Residential Experience located on the second floor of the Cotter Union to return your assigned room key(s). Students living in a suite/apartment will need to return both the assigned exterior and room keys. The bulletin board outside of the office will provide all instructions, including completion of the Key Return Envelope and the Check Out Form. 

After completing both the Key Return Envelope and the Check Out Form, students must place the envelope in one of the gray boxes. Completing this envelope and returning the key(s) will indicate to the Office of Residential Experience that a student has left campus. 

Important Notes On Returning Keys:

  • At the time of checkout, it is the student’s responsibility to return their assigned key(s) to the Office of Residential Experience.
  • Keys that are not returned according to the communicated deadline or process will be considered lost, and charges associated with a lock change and key replacement will apply.
  • Unreturned keys will not be accepted late or via mail.
  • When a room, suite, or apartment key is lost or unreturned, a lock change fee ($150 per lock) plus additional costs ($10 per required key cut) to replace the total number of keys in the College’s inventory will be assessed to a student’s account. The total number of keys replaced will vary depending on the key type and the total number of occupants in the particular space.
  • Assessed fees cannot be refunded if a lost or unreturned key is later found.
  • Students may only return their own key(s) as keys belonging to other students will not be accepted.

  • As key returns are processed in the weeks following closing, students will receive an emailed confirmation of their key status (returned or lost).
  • If students know that they do not have a key and will not be returning a key, they must email housing at [email protected] to inform our office.

Checking Out

All Non-Senior Residents:

All non-graduating students must check out housing within 24 hours of their last final exam or by 12PM on Tuesday, May 19, 2026 (whichever comes first).

All students, regardless of their housing assignment, must check out at the Office of Residential Experience. Checkouts may occur regardless of whether the student is leaving during regular business hours, as long as Cotter Union is open.

Graduating Seniors:

All seniors across campus are required to check out of their residence hall room by 5PM on Sunday, May 24, 2026.

All seniors, regardless of their housing assignment, must check out at the Office of Residential Experience.

Room inspections will begin at approximately 12PM for all spaces that have been vacated.

All assigned keys must be returned to the Office of Residential Experience prior to 5PM. Staff will be in the Office of Residential Experience until 5PM to collect any keys.

Off-Campus Storage Partners

Colby College partners with third-party vendors to provide students with options for storing and shipping personal belongings. These resources are provided solely for student convenience.

Colby College does not maintain any responsibility for student belongings when students use these services.

PRO Moving Service has provided summer storage for Colby students for over 20 years. PRO Moving is owned and operated by Colby graduate, Peter Carey, ’79. Their movers will pick up your belongings on campus at the end of the spring semester and return them at the beginning of the fall semester, or accommodate those who spend one or more semesters away from Colby.

PRO Moving Service stores student belongings in their secure, climate and fire-protected warehouse in Waterville, Maine. Their moving crew is very familiar with the Colby campus and provides students with an itemized of all stored items ensuring the smooth and efficient return of items in the fall.

Additional Helpful Information

Students requesting to leave a vehicle on campus after Commencement and during the summer must contact Colby College Security in advance of leaving campus.

Security will inform students where to park their vehicles, and the key must be left with Security so the vehicle can be moved in the event of an emergency or for operational purposes. Any vehicles left on campus without permission will be towed at the owner’s expense through Security.

The Office of Sustainability and Facilities Services, in partnership with the Office of Residential Experience, will once again host the RESCUE Donation Drive and Sale. In efforts to reduce waste during move-out, individuals may donate items for future students’ use during the upcoming academic year by dropping them off during available donation hours. These items are then sold to students at the start of the fall semester.

 

What Items Will Be Accepted?

    • Items must be clean, well-maintained, and still functioning.
    • Appliances (mini fridges, microwaves, fans, toasters, coffee makers, TVs, and monitors)
    • Furniture (rolling carts, storage containers, small tables, chairs)
    • Decor (lamps, mirrors, wall art) 
    • Cleaning supplies (brooms, Swiffers, vacuums)
    • Bicyles (no E-Bikes)

  • Clothes, shoes, and accessories

Where and When to Donate 

This year, donations will be accepted at Mary Low 005 (in the basement) during the following times:

  • Monday 05/11 – Friday 05/15 – 11am-3pm
  • Monday 05/18 – 11am-3pm
  • Tuesday 05/19 – Wednesday 05/20 – appointment only
  • Thursday 05/21 – 12-5pm
  • Friday 05/22 – 2-5pm
  • Saturday 05/23 – 2-5pm
  • Sunday 05/24 – 2-5pm 

 

If you are unable to make the available donation times, please email [email protected] stating what items you would like to donate and your availability – thank you! Additionally, please consider calling Goodwill to see if the items you have to donate can and will be accepted at this time.

 

The Office of Sustainability will have the final say on what will be accepted. Donations should NOT be left during times when items are not being accepted (see schedule above). As students clean and prepare their rooms for the summer, they are required to adequately remove all trash from the room and bring it to a nearby dumpster. Students are not permitted to leave trash in or outside the room or in hallways for Facilities Services to remove.

Dumpsters are placed across campus and outside of various residence halls for all residents to use as they prepare to vacate campus. To correctly manage dumpsters and prevent overflow, please bring trash out throughout the closing week instead of all at once.

Large dumpsters are anticipated to be placed in the following locations:

  • Alfond Senior Apartments
  • AMS
  • Averill
  • Dana
  • Foss
  • Heights
  • Hillside (Taylor, Sturtevant, Leonard, Marriner, Williams)
  • Mayflower Hill (outside of Coburn)
  • Pond Drive (adjacent to Drummond)
  • Roberts 
  • Alfond Main Street Commons
    • Trash room doors will be locked for the remainder of the year beginning on Tuesday, May 12, 2026. Please do not bring your trash to the trash rooms as all trash will need to be brought to the dumpsters outside.
    • The dumpster area will be unlocked for trash use beginning on Tuesday, May 12, 2026, and between the hours of 6:00 AM and 5:00 PM (daily, including weekends).

Trunk rooms are storage rooms located within select residence halls and are available for current students’ storage convenience when vacating campus housing at the end of a semester. 

Due to the limitation of storage space within Trunk Rooms and continuous demand for usage, there is a limit to the quantity and type of storage items allowed. Students may store a maximum of five approved boxes/containers.

The storage of items in a trunk room is only permitted after a student has applied and been approved by the Office of Residential Experience. 

WHAT’S ALLOWED?

Items must be stored in pre-approved containers such as boxes, plastic totes, luggage, or storage tote bags. Allowable containers must not exceed:

  • Medium sized plastic tote (26″ x 18″ x 12″)
  • Medium sized cardboard moving box (18 1/8” x 18” x 16”)
  • Large luggage/suitcase ( 28″ x 18 1/2″ x 12.5″)
  • Large storage bag (29.1″L x 14.2″W x 13″H)

 

WHAT’S NOT ALLOWED?

Only properly boxed, labeled, and approved items may be stored. The following items are not permitted in College trunk rooms: 

  • Furniture (sofas, chairs, futons, mattresses, etc.)
  • Carpets
  • Appliances (refrigerators, vacuums, etc.)
  • Plants or living things
  • Flamable materials
  • Trash bags filled with personal items
  • Food or liquids of any kinds, even if stored in plastic containers

Any unapproved, improperly stored, or improperly labeled items are subject to be removal and disposal without warning or notification. The College is not responsible for any costs associated with the removal and disposal of personal items from the trunk rooms.

ACCESSING TRUNK ROOM SPACES ONCE APPROVED

Once students receive an approval email, they may go directly to the Office of Residential Experience (Cotter Union, 241) during regular business hours (M-F, 8:30AM-4:30PM) to retrieve the approved amount of trunk room labels. 

Students must use the specific labels provided by the Office of Residential Experience on their property with their name, class year, and date stored. Students may then visit their assigned trunk room between Wednesday, May 13, 2026, and Monday, May 18, 2026, during the hours of 4:00PM-7:00PM. At the time of storage, a member of the Office of Residential Experience will confirm the storage location and provide access to the trunk room.

Any student who plans to leave a bike on campus must complete the necessary notification form with the Office of Residential Experience. 

Students completing this form will be provided with a tag to place on their bicycle.

All bicycles without a tag will be removed by Facilities Services during the summer and donated.

Residence halls officially close for the summer at 12:00PM (noon) on Tuesday, May 19, 2026. 

Unlike all other College breaks, there is no process for students to elect to stay on campus, and all students must vacate campus residence halls for the summer break.

Similar to all College breaks, students may find the registration links for end of year shuttles on the Colby College Transportation website.
