Temporary storage will be available in the AMS ground-floor Common Room. This space will remain locked throughout the storage period, and items must still be properly labeled (as provided by the Office of Residential Experience).
A Community Advisor (CA) will be available to assist students with accessing this location between May 14, 2025, and May 19, 2025, from 4:00 PM to 7:00 PM.
Students can retrieve their personal items between 10:00 AM-4:00 PM on Monday, May 26, 2025.

With the exception of the College’s designated single rooms, all individuals in summer housing should expect to receive one or more roommates.
Students may create a Roommate Group (similar to the academic year process) to request potential roommates. The Office of Residential Experience will look to honor these groups whenever possible. However, this may depend on available spaces, room types, and dates of employment.
Alternatively, if not part of a roommate group, the Office of Residential Experience will use the housing preferences provided on the Summer Housing Application to match summer housing students as best as possible.
To create a roommate group on the Colby Housing Portal:
Once all assignments are complete, summer housing students will be notified of their placement by email with instructions for their move-in process.
Please note, Colby enrolled student employees with a housing start date after May 26, 2025 may receive their housing assignment at a later date.
The Office of the Residential Experience uses previously approved academic year housing accommodations when making assignments. Colby enrolled student employees will be able to indicate their interest in using their already approved housing accommodations on the Summer Housing Application.
All approved accommodations have been communicated to the Office of Residential Experience by the respective offices supporting the accommodations processes.
It is important to note that based on the summer housing locations (the buildings, the types of rooms in those buildings, etc.), certain needs and accommodations may not be met. The Office of Residential Experience will look to support where and when possible. However, this may not be possible in all situations.
Enrolled Colby students beginning employment on Tuesday, May 27, 2025, can move-in between 10:00 AM and 4:00 PM on Monday, May 26, 2025. Students must check-in at the Office of Residential Experience (Cotter Union, office suite 241) to receive their key and applicable materials.
Colby enrolled students whose employment begins after May 27, 2025 will receive instructions for their arrival and check-in. Location and hours for check-in will depend on the start of employment. Generally speaking, arrival will be permitted no earlier than 12:00 PM on the day before the first date of employment.
Summer housing will officially end, and enrolled Colby student employees must vacate their summer housing assignment no later than 12:00 PM on the day after their last date of employment or by 12:00 PM on Saturday, August 2, 2025, whichever is first.
All summer residents (regardless of location/assignment) must check out of their summer housing assignment at the Office of Residential Experience located in Cotter Union (241).
Upon the date/time of checkout, all summer residents must properly clean their assigned space and remove all personal belongings before checking out. This includes:
After vacating a room, Colby enrolled student employees must visit the Office of Residential Experience located on the second floor of the Cotter Union to return their assigned room key(s). The bulletin board outside of the office will provide all instructions, including completion of the Key Return Envelope and the Check Out Form.
After completing both the Key Return Envelope and the Check Out Form, students must place the envelope in one of the gray boxes. Completing this envelope and returning the key(s) will indicate to the Office of Residential Experience that a student has left campus.
Not checking out or completing the steps as instructed will result in an improper checkout, including but not limited to additional billing for summer housing use and any fees associated with a necessary lock change.
Please note, checkout can occur at any time in which Cotter Union is open. The Office of the Residential Experience does not need to be open for summer residents to check out.
Due to the nature of summer housing, individual start/end dates for employment may vary. This also impacts summer housing and vacancies that become available in rooms. It is important to note that all vacant spaces within summer housing residence halls may be assigned at any time. Should there be available space within a room, the occupant must keep that space ready and available for another assigned resident.
The Office of Residential Experience will communicate with room occupants about any newly assigned resident(s).
Keys correspond to the room/suite/apartment according to the Office of Residential Experience records and are the sole responsibility of the resident to whom they are issued. Please consider this an official record of this key distribution.
Keys are not transferable (e.g., loaned to or swapped with other people) and may not be duplicated. Because of the security risk involved, if a key is lost or stolen, it must be reported to the Office of Residential Experience and to Colby Security immediately.
Important Notes On Returning Keys:
The Colby College Student Handbook provides fairly comprehensive information about a variety of aspect of life at Colby, including resources, rules and policies. These are necessary for our community to function successfully and safely. Students are expected to know and abide by all policies outlined in this handbook.
All academic year policies and procedures remain in place during the summer.

Departments who elect to cover the cost of student housing out of their department budget will need to communicate this sponsorship and appropriate Cost Center/Fund/Gift accounts to the Office of Residential Experience.
Supervisors will be provided with a form to communicate this sponsorship.
Options for student employees to remain in campus housing during the transition periods are limited. Transition periods include:
To remain on campus during either of these transition periods, students must first be sponsored by a Colby Office/Department. Colby Faculty and Staff will receive communication and the appropriate sponsorship form in May and July.
